AI assistant

An AI assistant that works inside your business

The OrgLines AI assistant works inside your workspace: it reads the same leads, orders, invoices, shipments and candidates as your team, answers from your own documents and remembers what matters to you. It prepares the work — you decide what gets saved.

Who it is for

  • Owners who want answers about the business without opening five reports
  • Sales and support teams that lose time on routine follow-ups
  • Managers who coordinate logistics, warehouse or hiring and need a quick overview
  • Companies that want AI but must keep control over their data and every change

Most AI chats know a lot about the world and nothing about your company. The OrgLines assistant works the other way round. It sits inside the platform and uses the data of every module you have: CRM and Lead Center, mail, warehouse and orders, finance, logistics, HR, projects and your personal workspace. You can ask it in plain language which leads nobody has answered, which obligations are due this week or which trips are still without a driver, and the answer comes from your records, streamed in real time, in the language you write in.

Reading and changing data are treated differently. When you ask the assistant to create a task, update a lead or prepare an order, it first shows a proposal with the exact change. You confirm it, adjust it or drop it. Irreversible actions carry an explicit warning. Only small personal items, such as your own notes and reminders, are saved straight away. This is what makes it safe to let an assistant near real business data.

Two things make the assistant more useful the longer you work with it: memory and the knowledge base. Memory keeps short facts you want it to know — your preferred suppliers, how you name projects, who looks after which client — as ordinary records you can read, correct and delete. The knowledge base holds your price lists, contracts, manuals and policies, so answers are based on your documents rather than general internet knowledge.

A typical day with the assistant

  1. 01

    Start with the morning brief

A digest collects what is due today, which leads are waiting and which reminders are coming up — in the app, by email or in Telegram.

  2. 02

    Ask a question across modules

"Which leads have had no answer since Monday?" or "What obligations are due next week?" The assistant reads the records and answers with specifics.

  3. 03

    Let it prepare the work

Turn action items from meeting notes into tasks, update a batch of leads or draft a reply. Each change arrives as a proposal.

  4. 04

    Review and confirm

You see exactly what will be created or changed. If a required field is missing, the assistant asks for it before anything is saved.

  5. 05

    Teach it once

Tell it a fact to remember or upload a document to the knowledge base. From then on it uses that knowledge without being reminded.

  6. 06

    Look back at the week

A weekly review and a "what your AI did" digest show what happened and which actions the assistant carried out for you.

What you can do

01

Proposal first, then confirmation

Changes are prepared as a proposal that shows the exact records and fields involved. Nothing is written until you confirm; irreversible actions show a separate warning.

02

Safe, Confirm and Auto modes

In Safe mode the assistant only looks and explains. Switch to Confirm or Auto when you want it to carry out actions.

03

Memory you can see and edit

The assistant can remember, recall, update, merge and forget facts. Every fact is an ordinary record in your workspace, never a hidden store.

04

Knowledge base from your documents

Organise documents and text into collections and let the assistant search them. It answers with your prices, terms and procedures.

05

One assistant for every module

Leads and mail, organizations and tasks, stock levels and invoices, cash flow and obligations, freight orders and trips, applications and hiring reports — within the modules your plan and role give you.

06

Digests

A morning brief, a weekly review and a summary of what your AI did, so routine checks come to you instead of the other way round.

07

Reminders in Telegram

Ask for a reminder about a call, a renewal or a document deadline and receive it in Telegram at the time you set.

08

Meeting notes to tasks

Keep meeting notes in OrgLines and let the assistant convert the agreed action items into tasks.

09

Video digest

Paste a link to a YouTube video or a video file and get a transcript with timecodes and a summary of what is shown and how. For YouTube the subtitles are used.

10

Automations and your own functions

Create and run your own functions for recurring work, and send events to other systems through outbound webhooks.

Also available in Claude

If your team already works in Claude or another MCP-compatible agent, the same tools and the same confirmation rules are available there through the OrgLines MCP server.

How confirmations keep you in control

The decision whether an action needs your confirmation is made by the platform, not by the assistant. When a write needs approval, the assistant receives a proposal instead of a result and shows it to you. Only after you confirm does the change happen.

  • Reading and searching: no confirmation needed
  • Your own notes, tasks and reminders: saved directly
  • Changes to shared business records: prepared as a proposal
  • Deleting data, sending outside the workspace and anything financial: prepared as a proposal for you to confirm

Memory and knowledge base: what goes where

Memory is for short facts about you and your way of working. The knowledge base is for documents that someone would otherwise have to open and search. Both live in your workspace, and both can be reviewed and cleaned up at any time.

  • Memory: "our main carrier for Poland is…", "invoices go out on Fridays", "call Olena before 11:00"
  • Knowledge base: price lists, contract templates, product manuals, internal policies
  • Duplicate or outdated facts can be merged, corrected or deleted

AI credits and cost control

AI actions are counted in credits. As a guide, a chat message costs about 3 credits, a research run about 10 and a creative about 20. Every plan includes a monthly allowance that resets each period.

  • If an action needs more credits than are left, the assistant says so instead of failing silently
  • From the Core plan, one-time top-ups can be added on top of the monthly allowance
  • Companies share one credit pool; an admin can set a personal monthly limit for each user

Plans: Every plan, including Free, includes a monthly allowance of AI credits. Top-ups are available from the Core plan. Compare plans

Questions about AI assistant

Ask a question
Can the assistant change data on its own?

For shared business records, only after your confirmation: it prepares a proposal with the exact change. Your own small items, such as notes and reminders, are saved directly. Deleting data and financial or external actions are prepared as proposals too.

What data can the assistant see?

The data of your workspace, within the modules your plan includes and the sections your role allows. It does not see more than you do.

Can I see and delete what it remembers?

Yes. Every remembered fact is a normal record you can open, correct or delete. You can also ask the assistant to forget something.

How is the knowledge base different from uploading a file to a chat?

Documents in the knowledge base stay in organised collections and are searched whenever they are relevant, in any conversation, instead of being forgotten after one chat.

Which languages does it understand?

It answers in the language you write in, including Ukrainian, English and German.

Is the AI included in the Free plan?

Yes. The Free plan includes a monthly allowance of AI credits. Paid plans include more, and from Core you can buy top-ups.

What happens when the credits run out?

AI actions pause and the assistant tells you how many credits the action needs. The allowance resets with the next period; on Core and higher you can top up right away. Your data and the rest of the platform are not affected.

Can I limit how much each employee uses?

Yes. The company has a shared credit pool, and an admin can set a personal monthly limit for each user in the access settings.
